How to Get a Laptop Rental Quotation: Format, PO and Documents
Last updated: 2026-09-26
What should a laptop rental quotation contain?
Nine things, and a quotation missing any of them will come back from procurement: the vendor's GSTIN and PAN, a quote number and validity date, the exact configuration per line, quantity, rate per unit per month, tenure, the SAC code and GST split, the contract value over the full term, and the payment terms.
Techvity issues quotations as estimates with a 30-day rate lock, so procurement can circulate the document internally without the price moving underneath them.
What documents does a rental vendor need from a company?
Five, usually: certificate of incorporation, company PAN, GST registration certificate, a board resolution or authority letter naming the signatory, and a cancelled cheque. Larger contracts may also involve audited financials or a credit reference.
The reason vendors ask is asset risk — laptops leave the warehouse and sit in someone else's office for a year. A vendor who asks for nothing is a vendor who has not thought about recovery.
How does the PO-to-delivery process work?
Six steps. Requirement and quantity shared. Formal estimate issued, with the rate locked. Customer raises a purchase order against it. Agreement signed and stamped. Machines imaged and configured to the customer's standard. Delivered with a signed acknowledgement carrying serial numbers.
How long that takes depends on quantity and configuration, and Techvity confirms the timeline with the estimate. Same-day delivery in Bangalore, with paid express delivery available.
Why does the delivery acknowledgement list serial numbers?
Because it is the document that proves which specific machines were handed over. If ownership or return is ever disputed, a signed schedule of serials is what makes the equipment identifiable — a count alone proves nothing.
Techvity annexes the serial schedule to both the agreement and the delivery note.
What payment terms are normal for corporate rental?
Monthly or quarterly in advance is standard. Established companies with a trading history are commonly offered credit terms against a PO. The deposit or advance for a company is agreed during KYC and contracting.
TDS at 2% under Section 194I is deducted by the customer from each payment where the annual threshold is crossed.
Can you get a quotation without talking to sales?
At Techvity, yes. Verify a work email on the company quote page and the volume rates appear immediately, with a GST-ready estimate PDF you can download and forward. No call, and no sales follow-up unless you ask for one.
Corporate rates are shared with registered businesses rather than published openly, which is why the email step exists.
