Privacy Policy

This policy explains what personal data Techvity IT Solutions (“Techvity”, “we”) collects through this website, our KYC portal and when you contact us; why we use it; which service providers process it for us; how long we keep it; and the rights you have under India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”). For that Act, Techvity is the “Data Fiduciary” for this data.

1. Who we are

Techvity IT Solutions, 5th cross, 228/1, Venkatapura Main Rd, Teacher's Colony, Jakkasandra, 1st Block Koramangala, Koramangala, Bengaluru, Karnataka 560034. GSTIN 29DETPA8734P1ZH.

We rent, repair and sell laptops and other IT equipment, and buy used IT equipment. We serve companies across India and individuals in Bangalore.

2. What we collect and why

We collect only what we need for the purposes below.

Enquiry, booking and quote forms

When you send an enquiry or ask for a quote (for example on the contact, rental, repair, sales, buyback, sell-your-laptop, fleet-quote or company-quote pages), we collect what the form asks for:

  • your name and mobile number;
  • an email address and company name, where the form asks for them;
  • what you need: the service, device, quantity, rental period and your message;
  • for a company quotation, your company’s GSTIN and billing address.

With the form we also receive the page you sent it from and how you reached the site: campaign tags in the link you followed (such as utm_source or gclid), the referring website, the first page you landed on and when. This is kept in your browser (see section 6) and reaches us only with something you send us: a form, your name and number in the chat, or a company-rates unlock or rate-card download.

Why: to reply to you, prepare your quote, arrange a rental, repair, sale or buyback, and learn which pages and campaigns bring enquiries. Company quotations built on the site are also saved as a PDF in our Google Drive. We share quotes by phone or WhatsApp.

Company rates (work-email check)

To see company rates or download the company rate card, you enter a work email address. Our server checks that it is correctly formed, that it is not a free or disposable mailbox, and that its domain has a mail server. If it passes, we email a 6-digit code to that address from our business mailbox, to confirm it is yours. The code itself is not stored: your browser holds only a scrambled (hashed) form of it in a cookie for 10 minutes. Once you type the code correctly, a cookie unlocks the rates for 2 hours. When you unlock the rates or download the rate card, we record your work email so we know who viewed company rates. We contact you only if you ask us to.

Chat assistant

The chat assistant asks for your name and mobile number (you can skip this) and then takes your messages. If you give your name and number, we record them as an enquiry. Your messages are sent to OpenAI, which generates the assistant’s replies, and the conversation (name, mobile number and messages) is kept in our records so our team can follow up.

Replies are automated and can be wrong: they are not a quote or a commitment. Please do not share identity documents, passwords or payment details in the chat.

KYC verification

Before we hand over any rented device, we verify the individual or company renting it on our KYC portal (kyc.techvity.in). The portal asks for identity and contact details and the documents it lists. We use them only to confirm who is renting, to protect our equipment, to prepare the rental agreement and invoice, and to meet our legal obligations.

Rentals, purchases, repairs and buyback

To carry out an order we keep what it needs: delivery or collection address, device details and serial numbers, the agreement, the GST invoice and payment records.

A device you give us for repair or sell to us may contain your files. Please back up and remove your data, and sign out of your accounts, before handing a device over. Storage on devices we buy is wiped to NIST SP 800-88 before resale or recycling. Remove your files from a rented device before you return it.

Phone calls and WhatsApp

If you call us or message us on WhatsApp, we see your number and what you send, and use them to reply. WhatsApp is run by WhatsApp LLC (Meta); its own privacy policy applies to messages sent through it.

Analytics and session recording

  • Google Analytics 4 counts visits and pages and records events such as button clicks, site searches, form starts and completed enquiries, with your device, browser and approximate location. We do not send your name, phone number, email address or messages to Google Analytics.
  • Microsoft Clarity records how pages are used (clicks, taps, scrolling and mouse movement) as session replays and heatmaps. Form fields, the chat and parts of pages that show personal details or company rates are marked to be masked in these replays.
  • Site search: what you type in the search box on the rental page, and the page, are stored in our records without your IP address or any other identifier, so we can see what people look for.

These tools load only on techvity.in itself. See section 7 for how to block them.

Technical data

Our hosting provider receives your IP address, browser details and the pages you request, in order to deliver the site and keep it secure. Our server also uses your IP address briefly to limit abuse of the forms and chat (for example, too many submissions in a minute); it is not saved with your enquiry.

We use personal data on the basis of your consent, which you give when you submit a form, start a chat, complete KYC or contact us, for the purpose described when you do so. Where the DPDP Act allows it without consent, we also use it for legitimate uses such as responding to a request you have voluntarily made to us, or meeting a legal obligation (for example, keeping GST and tax records).

4. Who processes your data for us

These providers process personal data on our behalf, only for the purposes above:

  • Google (Google Workspace, Google Sheets, Google Apps Script and Google Drive): stores enquiries, quotes and quote PDFs, chat conversations and site-search terms, and runs our business email. Google also provides Google Analytics, and the map on the contact page, which loads from Google only when you choose to show it.
  • Vercel: hosts this website and runs the server code behind its forms and chat.
  • Microsoft (Clarity): session recording and heatmaps.
  • OpenAI: generates the chat assistant’s replies from your chat messages.
  • WhatsApp (Meta): carries the messages you send us on WhatsApp.
  • The service that runs our KYC portal: stores the details and documents you submit for verification.
  • Delivery and courier partners: receive the name, phone number and address needed for a delivery or collection.

We may also share personal data with our professional advisers (such as accountants and lawyers), and with government authorities where the law requires it. We do not sell personal data.

5. Processing outside India

Some of these providers (Google, Vercel, Microsoft, OpenAI and Meta) may store or process data on servers outside India. The DPDP Act allows this except to countries that the Government of India restricts by notification, and we will follow any such restriction.

6. Cookies and browser storage

The site uses these cookies and browser storage:

tq_access (cookie, strictly necessary)
Set only after the work-email check; unlocks company rates. Expires after 2 hours.
_ga, _ga_* (cookies, Google Analytics)
Tell visits apart for measurement. Kept according to Google Analytics’ settings.
_clck, _clsk (cookies, Microsoft Clarity)
Link the pages of one visit into a session replay. Kept according to Clarity’s settings.
tv_attr_first, tv_attr_last, tv_attr_active (local storage)
How you first and most recently reached the site (campaign tags, referring site, landing page). The first visit is used for 90 days, then replaced on your next visit; the most recent one is replaced when you return after 30 minutes or through a new campaign. Both stay in your browser until you clear its site data, and reach us only with something you send us (see section 2).
tv_last_cta, tv_contact_gate, tv_chat_nudged (session storage)
The last button you pressed (attached to an enquiry you then send), your answer to “are you in Bangalore or buying for a company?”, and whether the chat prompt has been shown. Cleared when you close the tab.

7. Your choices about analytics

The site, its forms and the chat work without analytics. You can block Google Analytics and Microsoft Clarity with your browser’s privacy settings or a content blocker, or install Google’s Google Analytics opt-out browser add-on. Clearing your cookies and site data removes everything listed in section 6.

8. How long we keep data

We keep personal data only as long as we need it for the purpose it was collected for:

  • Enquiries, quotes, quote PDFs and chat conversations: while we respond, follow up and carry out any order that results, and afterwards only as long as needed to answer questions or resolve disputes about it.
  • Orders, agreements, invoices and payment records: for the periods Indian tax and accounting law requires.
  • KYC details and documents: for as long as the rental lasts, and afterwards only as long as needed to recover equipment, resolve disputes or meet legal obligations.
  • Analytics and session recordings: under the retention settings of Google Analytics and Microsoft Clarity.
  • Browser storage: as set out in section 6.

When we no longer need personal data, or you withdraw your consent, we erase it or make it anonymous, unless the law requires us to keep it.

9. Your rights and how to use them

Under the DPDP Act you have the right to:

  • Access: get a summary of the personal data we hold about you, what we do with it, and who we have shared it with.
  • Correction and erasure: have your data corrected, completed or updated, and ask us to erase it, unless the law requires us to keep it.
  • Withdraw consent at any time, as easily as you gave it. This does not affect what we did before, but we may then be unable to continue a service that needs the data (for example, a rental cannot proceed without KYC).
  • Grievance redressal: complain to us about how we have handled your data, and receive a response within the time the DPDP Act and its Rules allow.
  • Nominate another person to exercise these rights for you if you die or become unable to.
  • Complain to the Data Protection Board of India if you are not satisfied with our response to your grievance.

Tell us your name, the phone number or email address you used with us, and what you would like us to do. We may need to confirm your identity before acting on a request.

10. Children

The DPDP Act treats anyone under 18 as a child. Our website and services are not designed for children, and we do not knowingly collect a child’s personal data without the verifiable consent of a parent or lawful guardian. If you believe a child has given us personal data, contact us at legal@techvity.in and we will delete it.

11. Security and breaches

We protect personal data with reasonable security safeguards. For example, the site is served only over HTTPS, and forms and chat messages go to our own server first rather than directly to other services. No method of sending or storing data is completely secure. If a personal data breach affects you, we will inform you and the Data Protection Board of India as the DPDP Act requires.

12. Changes to this policy

We update this policy when what we collect, or who processes it for us, changes, and we change the “Last updated” date at the top of the page when we do.
